Inactive Client Program Emails - With Discount

You have selected the non-personalizable version of the email reminders. This option is available to practices that do not have a practice management software vendor or an advanced software user on staff. For the majority of practices, this version will work without problems.

With this version, you will copy and paste the reminder from a web page into your email program, or you can use html.

#1 Select which version of the email (for dog owners, cat owners or owners with dogs and cats) you would like to send to your clients and click on the appropriate link. This will open a preview of the email in a new window.

Use these FIRST: 1st Reminder Emails

These emails should be sent to your inactive clients first.

Use these SECOND: Follow-up Reminder Emails

These are follow-up emails that can be sent two weeks later to those clients who still haven’t scheduled their pet’s appointment.

#2 Within the window in your browser that has the preview of the email, select and copy all of the content on the page. (Select and copy instructions: To select all, either click and drag with your mouse, or press “ctrl-a” on a PC or “command-a” on a Mac. To copy, right click and select “copy” or press “ctrl-c” on a PC or “command-c” on a Mac.)

#3 Using your practice email software, start an email to a client whose pet is due for their annual checkup. Click within the body of the email and paste what you copied in step 2. (Paste instructions: right click and select “paste” or press “ctrl-v” on a PC or “command-v” on a Mac.)

#4 Use the following recommended subject line (yes, it works great):

  • (For 1 pet) Subject: We’ve missed your pet — it’s checkup time! Save when you book an appointment this month!
  • (For multiple pets) Subject: We’ve missed your pets — it’s checkup time! Save when you book an appointment this month!

#5 If the client hasn’t called to schedule their appointment within two weeks, you can send them a follow-up reminder. Follow these steps again, but select the appropriate follow-up email.

Tips:

  • If your practice email doesn’t include your contact information at the bottom automatically, you should include this short note in the body of your email: Call us today to schedule your appointment at 000-000-0000. Print this email to save $25 on your pet’s yearly checkup exam. We look forward to helping your pet stay happy and healthy!
  • Depending on your practice size, you may want to designate one day every two weeks to manage this reminder program.
